When a prospective participant completes the screening form for your study, that information funnels into our participant management platform.

Pricing & Success
Our cancellation rate stands at approximately 5%, which reflects those who cancel before completing enrollment or their contract with us. We find that the most consistent factor in all our studies is that researchers have the flexibility to cancel our service whenever needed. Quantifying our performance across various studies can be complex due to each study’s unique requirements – some studies need 5 enrollments per month, other studies need 25 enrollments per month. Our customers continued desire to partner with us month after month demonstrates their success in consistently achieving agreed upon recruitment objectives. Lastly, it’s important to note that we only prepare a pricing proposal when we are confident in our ability to recruit and deliver value to our clients.
BuildClinical charges a flat monthly rate based on your specific study. We estimate the number of enrollments we believe that price will generate. If you enroll more participants than we estimate, we do not charge you anything more for the service. If we underperform and you enroll less, you do have the option to cancel or pause the service at any point in time.

Our pricing is designed specific to your study -- we look at the inclusion/exclusion criteria, study design (in-person vs remote, # of visits, compensation, etc.), the number of participants needed, and the ideal time to recruit all participants. From there, we compare that information against our historical conversion rates with that population as well as population data of the given geographical catchment area to generate a pricing quote. On average our studies range between $1,000-$3,000 per month.

Our company was designed to help academic researchers on grants and we understand that your budget is limited. We can alter the price per month by manipulating different inputs used to create the proposal. Our business relies on repeat customers and referrals to other researchers. More importantly, you retain the flexibility to cancel the service if it doesn't meet your expectations. Our strong incentive is to ensure your enrollment goals are met, and even exceeded. In the event that you surpass our recruitment estimates, there are no additional charges.

Yes, absolutely! We have successfully facilitated recruitment for many multi-site studies. We are able to board and train recruitment teams at each site and are able to direct prospective participants to the closest site to them. For coordinating sites, we can provide limited access to our platform giving you real-time insight into the recruitment progress in your study. Lastly, we are able to fine-tune our campaigns in real time to ensure that each site is meeting its recruitment goals.

Yes, we take data security very seriously at BuildClinical. All of our systems are HIPPA-compliant and have been approved by 150+ universities across the country, along with the VA and NIH.
BuildClinical is not a medical entity, does not determine medical outcomes, and does not interact with your data once the participant information is sent to you. Therefore, our business is not governed by HIPAA regulations. Nonetheless, we still follow HIPAA regulations to ensure all data is safe and secure. BuildClinical collects information from prospective participants based on screening questions that the researcher would like us to ask and securely transmits that information to the researcher in real time.
Our technology keeps data secure using server authentication and data encryption, and we use the same standard network security methods as healthcare institutions. We encrypt all data, whether in transit or at standstill. Data is transmitted via HTTPS, and our Transport Layer Security (TLS) 1.2 has a 2048-bit server key length with industry-leading modern browsers.
There aren’t any ways for our team to remove personal identifiers. However, we remove personal identifiers internally for BuildClinical employees that don't need access to them to complete their work.
Upon request, we can remove the data from our platform when you are no longer working with us. As long as you have access to the platform, the data will remain there.
No, no data is collected or stored outside of the United States. The servers on which our data is stored are located in the US, and data is encrypted whether in transit or at rest.
BuildClinical does often utilize social media platforms in our advertising approach, meaning that our ads may appear on social media sites such as Facebook, Instagram, Twitter, TikTok, etc. When a potential participant clicks on an ad displayed on a social media site, they will be brought to your study’s landing page and can click through to the screening form. BuildClinical only collects information that potential participants willingly enter into the screening form.
Potential participant data will be shared with you via Foundation, our participant management platform. Our technology keeps data secure using server authentication and data encryption, and we use the same standard network security methods as healthcare institutions.

Customer Success Associate: Your assigned CSA will have access to participant data in order to help manage and assess campaign performance (specifically lead quality).
Digital Advertising Manager: The DAM will have access to participant data in order to optimize campaign performance and ensure participants are aligned with your study's target population.
Preventing bots and fraudulent sign-ups has been an ongoing focus for us, and we've made continuous improvements in this area to create an excellent overarching solution. Our advertising strategy is highly targeted, ensuring that only relevant individuals see and engage with our ads. The following measures have essentially eliminated instances of bot activity and duplicate submissions.
CAPTCHA - To verify authenticity, we use a CAPTCHA on our screening forms to prevent bot submissions. A CAPTCHA is a program that protects websites against bots by generating and grading tests that humans can pass but current computer programs cannot.
Single Email Response - Our sign-up forms are designed to accept only one unique email address. If an attempt is made to submit a duplicate email, the form will not indicate the rejection due to duplication.
IP Address - We limit submissions based on suitable IP addresses; people with VPNs and living in foreign countries are unable to submit forms.
Verification - We've incorporated an email verification process to confirm the authenticity of emails and submissions.
Campaign Monitoring - Our Digital Marketing team performs weekly checks on each campaign. We take action if we notice any suspicious activity whatsoever.
We encrypt all potential participant data in transit and at rest and use some of the most secure cloud storage and security that exists. We take potential participant data security very seriously at BuildClinical, and all of our systems are HIPPA-compliant. When a potential participant submits the screening form and their data funnels into Foundation, our participant management platform, we limit which BuildClinical team members can see this data.
BuildClinical collects information from prospective participants based on study screening questions and securely transmits that information to study teams in real time. BuildClinical may use participant data to enhance the quality of our services and may share this data with our customers for existing and future engagements.

BuildClinical only collects information that potential participants willingly enter into the screening form, and the information is based on screening questions that the researcher would like us to ask. After filling out a screening form, all participants are prompted to acknowledge the following statement before their information is securely transmitted to the researcher: “You agree that BuildClinical may provide your personal information to the research site to help determine if you are eligible for this study. Please refer to BuildClinical's Terms of Service and Privacy Policyfor more information.”

In order to move forward, simply provide us with a signed proposal. Upon receiving this, we will connect you with our Customer Success team. They will guide you through the onboarding process, assist in creating study materials, and then facilitate the IRB amendment, ensuring a smooth start to your journey with us.
The payment for your first invoice is due before the launch of your campaign. This typically comes post-IRB approval. For all future months, the invoice must be paid before your renewal date, which is the same calendar date every month.

BuildClinical accepts various forms of payment, including wire transfer and all major credit and debit cards. Payment can be completed via the link you receive in your invoice email. Yes! BuildClinical is in the business of helping researchers accomplish their recruitment goals. We can help facilitate an increase or a reduction in your monthly bill. In order to ensure that all of our clients are set up for success, we require a minimum spend of $1,000 per month to support the resources required for a successful marketing campaign. Please also note that a change in your monthly bill means a change in your ad budget which will result in a proportionate increase or reduction in lead volume. Yes, all of the materials we create need IRB approval.
IRB approval should be sought after you have signed an agreement with us, we have drafted all campaign content (i.e. advertisements, landing page and screening form) and you have received it. After receiving your approval, we will then package it so you can easily submit it to your IRB. We have language that researchers find helpful to use in their submission and you can find that here
If we are currently providing services at your institution the we have received approval from your IRB before launching the campaign.
We exclusively service academic investigators, as well as government organizations such as the VA and the NIH, so we are extremely familiar with the IRB process. To date, we have never been denied by an IRB. If you have any issues when submitting our marketing materials for IRB approval, our Customer Success team helps you navigate through the approval process.
Unfortunately, we are unable to use your pre-existing advertising materials. Our approach is informed by extensive data on optimal ad images and copy for effective participant engagement online. We will incorporate your materials, however, exclusively using your existing content could compromise our ability to deliver the highest quality service.
No, you will not incur charges for our services during the startup or IRB approval phases. An invoice for the first month's services will be issued when we develop the marketing materials for your study.
